Early Arrival passes...has anyone received theirs yet?

I think the best tax we could pay might be to volunteer to help the org... I don't know if money would help solve the problem as much as a a lot of hands helping out. With something like early arrival passes, there might be some "security" issues, so they don't get counterfeited, but no doubt there would be something that folks could do to help... food for thought for next year...

Also, maybe some of us people who ARE experienced techie nerds could help setup a better process? One that wouldn't run into problems with personal ISPs, etc?
It may be very simple to automate some of this, etc. If the attachments are very large sending many may be a problem. Maybe they should put the PDF files on a server and just send a link. Etc.

proposal: link tickets themselves to early arrival privilege
seems like a separate barcode is overkill...
Since our tickets are already barcoded and have a unique number, how about if they somehow link our ticket numbers to the early arrival privilege. Theme camp operators would supply the ticket numbers to the ORG and they would do the linkage in their database. Same idea as what is happening now, except that there is no PDF to be sent. Sure, it means folks have to have a ticket before they can have early arrival, but I suspect that the vast majority of folks who would be arriving on the weekend already have their tickets by this time... There could even be a web form where a theme camp operator could log in and use up their allowance of early arrival slots by entering ticket numbers directly. Thereby distributing the load of managing the early arrival data entry across the entire theme camp operator population.

Linking to the tickets won't work for this years "plan". Weekend entries are not being assigned to individuals by the BMORG this year.
Each Theme Camp gets assigned a "batch" of unique weekend passes. The Theme Camp then assigns them to the appropriate people. They have the flexibility to change who is using the passes.
This solves the problem from last year, when camps needed to substitute people at the last minute.

People can trade their tickets if they have to, or use the online linkage page to remove the linkage for one ticket and assign it to another. I think it is OK to burden the theme camp operators to get the privilege to the right people. I spoke with many theme camp operators who *didn't believe* that the early arrival would be limited last year. That, coupled with the *unbelievably short window for applying for early arrival -- five days!* led to a lot of camps who didn't apply for weekend arrival because they figured they were already entitled to it. I have friends who drove up without being on any early arrival list and argued with the gate crew for half a day or longer (most unsucessfully, but some with success).StevenGoodman wrote:Linking to the tickets won't work for this years "plan". I still think that for next year, linking specific tickets to early arrival is the way to go, especially if what we're seeing this year is the alternative.

This all sounds so complicated. Security is always an issue.How about applying for early arrivals when sending in the Theme Camp Questionaire, tell us how many people we can have, and then most wouldnt worry about it, then they would have months to get the passes out. I think most are worried about the #'s. I sit and wonder what I'm going to do without the help I request. It takes 6 of us 2 days to set up and a third to fine tune. I really don't want to spend anymore time setting up. So far, everyone seems to be getting what they ask for, but it helps to have it in black and white. I'm sure GoMonk and crew are doing what they can. and everyone's advice and thoughts are going to help remedy the situation. Kudos to GoMonk and Crew, and my girl HepKitten, and everyone trying to improve the system. Soon all the headaches will be over and WE CAN ALL HAVE FUN!!!!!! (as soon as I get my "simple email") :D

They came this morning, as two separate emails with a collection of passes in each one. Whew! We got the passes we asked for -- good thing too: we will need all these folks to get set up in time...
